Job Overview

The Program Coordinator supports all elements of Georgetown Institute for Women, Peace and Security (GIWPS) programs and special projects including coordination, execution, administrative duties, and program management. The Program Coordinator will play a key role in maintaining GIWPS’ reputation as a respected and growing global platform that advances progress for women and girls around the world. Through coordination and support of the Policy and Programs team, the Program Coordinator will enable discussions that elevate women peacebuilders and shape the WPS field, as well as successful partnerships with key stakeholders that directly influence policy processes and ongoing educational and outreach related convenings. 

 

Work Interactions and Work Mode Designation

This position reports to the GIWPS Director of Policy and Programs and works closely with other members of the Policy and Programs team, and related Student Assistants.

This position has been designated as Hybrid 2 days. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.  Such review may necessitate a change to a position’s mode of work designation. Requirements and Qualifications

  • Bachelor’s degree and 2-4 years of experience in program coordination and administrative support.
  • Must demonstrate a high level of organization and attention to detail, strong interpersonal and professional communications and writing skills, and an ability to work effectively in a fast-paced environment. Excited and willing to take both initiative and direction as appropriate.
  • Experience working in diplomatic environments and knowledge of international affairs/gender issues preferred.
  • Experience drafting external and internal communications, briefings, social media content, and email blasts.
  • Experience with contact management software, Mailchimp, Canva, Google Suite, and event management preferred. 

 

Job Responsibilities

  • Program Coordination (40%): 
    • Draft communications, background materials, invitations, formal correspondence, and internal briefings. 
    • Work with the Director on coordination of all logistics including scheduling, catering, space reservations, audiovisual services, among others. 
    • Support audience development and relations through developing invitations lists, managing RSVPs and answering attendee inquiries. 
    • Liaise with event participants and make travel and lodging arrangements. 
    • Coordinate with other Georgetown departments and external groups for events in which GIWPS is a partner or participant.
    • Assist in briefing staff, interns, and volunteers on logistics as needed. 
    • Assist with day-of event execution and help to organize event staff and volunteers.
  • Communications and Research (40%)
    • Support the Policy and Programs team in all communications needs including drafting blog posts, email blasts, event descriptions, event summaries, social media posts, infographics, one-pagers, and fact sheets. 
    • Assist in copyediting all public-facing materials. 
    • Coordinate with and support the Communications team as needed.
    • Track relevant current affairs, policy issues, external events, potential speakers, and programs by partner organizations and Rapid Response Network. 
    • Assist the Policy and Programs team with conflict-specific and general desk research and provide briefings and roundups.
  • Administrative Support (20%)
    • Maintain organizational email accounts, contacts, and filing systems.
    • Support event contracts, expense reporting and travel arrangements. 
    • Take meeting minutes; attend events on behalf of GIWPS and provide summary notes.
    • Support the Program Director and Policy and Programs team with other duties as assigned.
